Order Tracking in Google Sheets: What It Really Costs

Order tracking in Google Sheets feels free. No subscription, no setup, everyone knows how to add a row. But a spreadsheet is never the expensive part. The expensive part is everything that happens between the chat and the row: the copy-paste, the forgotten order, the "did she pay?" and the item you sold twice. This article puts a number on it.

Order tracking in Google Sheets: a week in the life of a real DM shop

Meet Anna. She sells handmade linen dresses through a Telegram channel and Instagram DMs. About 60 orders a month, average check around 6,500 ₽. Her "system" is a Google Sheet with columns: date, name, @username, item, size, price, paid?, sent?, tracking number.

Here is what Anna actually sees on a Tuesday evening:

  • 27 unread chats, half of them "is the blue one still available in M?"
  • A sheet where row 143 says "Maria — dress — paid?" with no size and no phone
  • Two customers who both "reserved" the last sage dress in S, in two different apps
  • A screenshot of a bank transfer with no name attached

None of this looks like a disaster. It looks like a normal Tuesday. That is the problem.

The real cost of a spreadsheet order log

1. Time: the copy-paste tax

Every order is typed at least twice: once in the chat, once in the sheet. Then the status gets updated by hand, then the tracking number is pasted back into the chat. At 5–7 minutes per order, 60 orders is 5–7 hours a month. That is a full working day spent being a human API between two apps.

2. Lost orders: the ones that never became a row

A customer writes "I'll take it, I'll pay tonight". Anna is packing, the chat scrolls down, the row never appears. Small shops that move from chats to a system usually discover that a few percent of "yes, I'll take it" messages simply vanished. For Anna, losing just 3 orders a month is about 19,500 ₽ — more than many paid tools cost in a year.

3. Overselling: the apology you didn't need to send

A spreadsheet has no idea what is reserved. When the same item is promised in Telegram and Instagram, someone gets an apology and, often, never comes back. We broke this down in detail in what oversell means when you sell from chat.

4. Blindness: you can't ask the sheet a question

"Who bought twice this autumn?" "Which size runs out first?" In a sheet these are an evening of filters. So nobody asks, and decisions are made by gut feeling.

LeakPer month (Anna's shop)
Manual copy-paste, 60 orders × 6 min~6 hours
Orders lost in chat (3 × 6,500 ₽)~19,500 ₽
Oversold item + refund + lost customer1–2 customers
Decisions without dataimpossible to count — that's the point

What changes when orders arrive as orders

The fix is not "a better spreadsheet". The fix is to stop creating orders by hand at all. With datalizeCRM, the customer browses your catalog in a Telegram Mini App right inside the chat, picks a size and checks out. Every tap leaves a trace, and that trace lands in the CRM as an order: customer, items, sum, status. Nobody copies anything.

Telegram Mini App orders flowing into a CRM order board

Here is what Anna sees after the switch on the same Tuesday:

  • An order board: New — Paid — Packed — Shipped, 9 cards in "New"
  • The sage dress in S shows 0 free, 1 reserved — the second buyer sees "out of stock" instead of a promise
  • Maria's card has her phone, size, payment status and full order history

Stock and reserves work out of the box (see stock reserve for chat sales), and order statuses are standard instead of improvised (order statuses explained).

Moving off Google Sheets without a weekend of pain

  1. Export your product list from the sheet and import it as a catalog.
  2. Connect your Telegram bot — the Mini App storefront is ready.
  3. Pin the shop button in your channel and send the link in DMs instead of a price list.
  4. Keep the old sheet as an archive. New orders go to the CRM.

The Basic plan of datalizeCRM is free forever — not a trial, no timer. You can move today and pay nothing until you grow into more.

FAQ

Is a spreadsheet really that bad for order tracking?

For 5 orders a month — no. Once you have repeat customers, two channels and stock that runs out, the hidden costs above appear quickly. See also CRM vs Excel for chat orders.

Do my customers need to install anything?

No. The Mini App opens inside Telegram, like a page.

How much does it cost?

The Basic plan is free forever. Paid plans add capacity when you need it.
