CRM vs Excel for chat orders: when a sheet stops being enough
CRM
Excel
Telegram shop
Note: We already published a definition of CRM for a small product shop (`#20`). This article is the comparison angle shops actually argue about: CRM vs Excel for chat orders.
If your “system” is Instagram Direct + Telegram + a Google Sheet, you are not failing at CRM marketing. You are hitting the limit of a spreadsheet as an order ledger.
What Excel still does well
- Quick price lists and one-off calculations.
- Owner-only tracking when you are the only person selling.
- Exports and ad-hoc analysis once orders already exist elsewhere.
Excel is a fine notebook. It is a weak live shop.
Where the sheet breaks on chat commerce
- Two managers, one row — size M is “free” in the sheet while already promised in Direct.
- No buyer identity — Telegram user and Instagram handle are comments, not a customer card.
- No Mini App — every new buyer restarts the same price/size thread.
- Stock lag — the column updates after the chat, not when you promise.
- No audit — you cannot see who changed quantity or when a reserve died.
That is not a “buy a heavy portal CRM” problem. It is a need for catalog + order board + free/reserved stock in one place — the shop stack described in what a small shop CRM needs.
What a shop CRM replaces (concretely)
| Job | Excel + chats | Shop CRM |
|---|---|---|
| Product truth | Photos in gallery, prices in sheet | One catalog (variants for apparel) |
| Order | Screenshot / message | Card on the board |
| Stock | Column updated later | Free vs reserved on confirm (reserve guide) |
| Self-serve | You type the answer again | Telegram Mini App on same catalog |
| Channels | Separate mental math | One free number for IG, TG, counter (one warehouse) |
A fair migration week
- Copy the 20–40 SKUs you actually sell into the catalog (with sizes if clothes — see Fashion CRM).
- Enter today’s free stock once; stop inventing numbers in chat.
- Create every paid “беру” as an order on the board for 7 days — sheet becomes read-only history.
- Attach Mini App / bot menu so new buyers can check out without a full DM script (open a Mini App shop).
- Florists / same-day: keep delivery time on the order card — flower shop CRM.
When to keep Excel anyway
Keep sheets for finance models, supplier negotiations, and one-off campaigns. Do not keep them as the system of record for live chat stock. If you still sell only on marketplaces (Wildberries, Ozon, and peers), read own channel vs marketplace first — Excel will not fix fee and customer-ownership problems.
Bottom line
Excel loses when two people sell the same unit from two chats. A shop CRM wins when catalog, Mini App, and warehouse share one free-stock number. That is CRM for small product business in Telegram and Instagram — not a heavy portal CRM full of pipelines you will not use day one.
