What is a packing list / delivery note for a small shop shipment?

Logistics

Shipping

Warehouse

A packing list (often called a delivery note / накладная на отгрузку in shop talk) lists what should be in a shipment for the people who pick, pack, and hand over the parcel. It is the warehouse’s checklist for “this order leaves today,” not the full tax story of the company.

What it usually contains

  • Order or shipment reference
  • Buyer / delivery address or pickup code
  • Line items: SKU/name, size/color, quantity
  • Number of places / packages
  • Who picked and who packed (helpful when something is missing)
  • Optional: weight, gift notes, “do not bend”

Why small shops need one

Chat sales create messy handoffs: manager promised three SKUs, packer saw two, courier heard “the blue one.” A packing list makes the physical truth explicit before the door closes. On pickup day it also shows the client what they are signing for.

Packing list vs TTN vs invoice

  • Invoice — amounts to pay
  • Packing list / delivery note — contents for ops and often for the recipient’s check
  • TTN — transport handover when a carrier formally accepts the cargo

For a local courier with a simple act, your delivery note may be enough. For formal intercity freight, you may need both a packing detail and a TTN-style transport document.

Good habits

  1. Print or show the list from the same order the client paid for — no memory packing.
  2. Tick lines while packing; note substitutions explicitly.
  3. Put a copy in the box or photo it with the sealed parcel.
  4. On shortage at handover, mark the list before anyone leaves.

Common mistakes

  • Packing from chat screenshots instead of a stable order list
  • Omitting variants (size/color) so the wrong unit ships
  • No link between packed quantity and issuing the sale (on-hand must drop when goods leave — not only “release reserve” back to free)
  • Confusing “invoice paid” with “items actually in the bag”

Optional next step

A clear packing list is day-to-day ops, not bureaucracy. If orders and stock share one board, generating the list is easier — for example order lines in datalizeCRM — but a paper checklist from a correct order already cuts most mis-ships.
