Cycle count vs full inventarization: when to use which

Warehouse

Inventorization

Stocktaking

Not every stock check is a full inventarization. Small shops burn out when they only know one mode: “close everything and count the world.” Two rhythms cover most needs: cycle count and full inventarization.

Full inventarization

You count (almost) the entire assortment in a location, compare to books, and document shortage, surplus, and mis-sorting across the board. Typical triggers:

  • Yearly (or semi-yearly) formal stocktake
  • Change of financially responsible person
  • After a major theft suspicion or system migration
  • Before a big season when trust in numbers is low

Full counts are heavy: pause or control stock moves, assign zones, finish compare/fix. Skip them forever and the ledger drifts; do only full counts and the team never finishes.

Cycle count (циклический / выборочный пересчёт)

You count a slice on a rotating schedule: one category, one rack, top 50 SKUs, or “everything that moved this week.” Goals:

  • Catch errors early on high-risk items
  • Keep chat-promise numbers honest between full counts
  • Train the habit of reconciling without a yearly panic

Cycle count is still inventarization logic (count → compare → fix) — just scoped.

When to prefer which

  • Prefer cycle for bestsellers, expensive SKUs, sizes that oversell, and weekly chat-sales hygiene
  • Prefer full when ownership changes, auditors care, or cycle counts keep finding systemic mess
  • Combine — many small shops cycle weekly/monthly and full-count once a year

Designing a cycle you will finish

  1. List zones or ABC classes (A = count often).
  2. Pick a slot that survives real life (e.g. Monday morning before ads).
  3. Freeze or mark moves in that zone during the count.
  4. Fix gaps the same day — a count without posting is theatre.
  5. Track which zones are overdue so “rotation” is real.

Mistakes

  • Calling a glance at the shelf a cycle count
  • Always counting the easy zone and never the chaos corner
  • Full inventarization with sales still flying and no control sheet
  • No link between cycle findings and process change

Optional next step

Pick a rhythm your team can finish this month. Software that shows on-hand by SKU speeds compare/fix — for example warehouse views in datalizeCRM — but clipboard zones already beat an endless “someday full count.”
